MINUTES

The meeting was called to order at 7:07 pm
ROLL CALL:
Present: TJ Parra (President), Jeff Fisher (VP), Emily Fisher, D.K. Barr, Jared Oliverez, Mike Amos
Absent: Rob Desselle, Bryan Manns, Kevin Quinn,
APPROVAL OF MINUTES: Motion by Mike Amos, seconded by D.K Barr to approve minutes as written. Motion carried.
APPROVAL OF ACCOUNTS PAYABLE: None
CITIZEN COMMENTS: None
COMMISSIONER REPORTS: Heather Parra and Carmen Fisher presented the football fundraiser, Football Frenzy. Handouts were given explaining the fundraiser. Tickets would be sold as a donation to GVAA, not as a fundraiser and tickets could be sold Sept. 9th thru Oct. 27th.
A motion was made
by Jeff Fisher to pass Football Frenzy as the fundraiser,
seconded by D.K.
Barr. Motion carried.
On the tickets there is a space for a sponsor advertisement. Motion made to let Heather Parra and Carmen Fisher pick out the sponsor. Motion carried.
COMMITTEE REPORTS: None
OLD BUSINESS:
K thru 1 Flag Football – David Halphin: David Halphin is still going through Flag Football rules. He will discuss at next meeting along with moving games to weekdays instead of weekends.
Tax Exempt Status – David Halphin: GVAA will announce business at beginning of games and during half-time for donations.
NEW BUSINESS:
Meeting night for GVAA– TJ Parra : The meeting night of the GVAA will have to be changed due to the meeting room in the community center already being occupied the 4rd Thursday of the month. The board will have to approve change of the meeting day because it is already in the bi-laws. A motion was made to change the meetings to the 1st Thursday of every month. Motion carried.
GVAA Website – TJ Parra: Website is http://gvaasports.org. There will be a section on the website for sponsorship.
Concession stand for football – TJ Parra: TJ mentioned that Shannon is leaning towards having the city staff the concession stands. Ray Ramirez mentioned that a sign needs to be posted letting people know that other teams can’t bring in their own food except for drinks for the players because it has been an issue in past years.
Equipment Replacement Plan – Jeff Fisher: Heather Parra said that she has looked into having the helmets safety checked but it takes 2 months to get them back. Heather said she will have to look into the issue further for future seasons.
Fall Soccer – TJ Parra: TJ would like to get things ready to take over soccer. D.K Barr mentioned that it might be better to start with spring soccer instead of fall soccer because fall soccer was coming up to soon.
Sponsorships – TJ Parra: TJ brought up the idea of possibly giving some incentive to businesses who sponsor the association. Signs on goal posts and fencing were ideas of where the sponsors names could be displayed.
Grain Valley Fair Daze – Heather Parra: Heather checked into getting a booth at the fair. The fee for a non-profit organization is $ 60. David Halphin noted that there are restrictions on what you can sell at the fair. No carnival type games are allowed so the association will have to check on restrictions before deciding what to sell at the booth. A motion was made by Mike Amos to allow GVAA to have a booth at the fair. It was seconded by D.K. Barr. Motion carried.
GVAA checking account – TJ Parra: TJ Parra wanted to present the different types of checks that he was offered by State Bank. D.K. Barr, GVAA treasurer, said she preferred the double checks with a binder. A motion was made by David Halphin to pass buying the double checks. It was seconded by D.K. Barr. Motion carried. TJ Parra mentioned that there wasn’t enough money in the general fund to pay for the checks, but there was enough in the football fund. An amended motion was made by David Halphin to purchase the checks from the football fund and then transfer money once the general fund increased. Motion seconded by D.K. Barr. Motion carried.
